Job Description
- Manage and optimize a complex, multi-organizational calendar using Outlook Calendar.
- Schedule meetings, resolve conflicts, and ensure the executive’s time is allocated efficiently.
- Prepare daily summary reports, including a Morning Plan detailing today’s schedule, pending tasks, and follow-ups, and an Evening Review summarizing completed items and previewing the next day.
- Assign tasks to team members, capturing clear descriptions, assignees, due dates, and priorities.
- Track task progress and follow up on pending or overdue items proactively.
- Maintain an organized task database to ensure nothing falls through the cracks.
- Support the CEO’s personal branding activities, including coordinating content, managing professional presence, and following up on branding initiatives.
- Utilize AI-powered tools to enhance productivity, automate routine tasks, conduct research, and improve executive support processes.
- Monitor, organize, and manage business emails via Outlook, ensuring timely responses to critical communications.
- Draft, review, and send emails on behalf of the executive, maintaining a professional and appropriate tone.
Requirements
• Proven experience as a Personal Assistant, Executive Assistant, or in a similar administrative role supporting C-level executives.
• Fluent in English (spoken and written) with the ability to communicate professionally with clients, partners, and stakeholders.
• Excellent written and verbal communication skills in both English and Arabic.
• Strong experience in Microsoft Outlook (Email and Calendar) and Google Workspace (Drive, Contacts, Gmail).
• Exceptional organizational and time-management skills, with the ability to manage multiple priorities across different business entities.
• Experience in task tracking, follow-up, and ensuring accountability across teams.
• Familiarity with Personal Branding strategies, including content coordination, profile management, and supporting executive visibility across professional platforms.
• Strong understanding of Artificial Intelligence tools and productivity solutions, with the ability to leverage AI to improve efficiency, research, content creation, and administrative workflows.
• Ability to conduct research and prepare professional reports, articles, presentations, and executive summaries.
• High level of discretion and confidentiality when handling sensitive business and personal information.
• Proactive, resourceful, and capable of anticipating executive needs with minimal supervision.
• Male candidates are preferred.
• High level of flexibility and responsiveness, including availability outside standard working hours when required to support executive priorities.
