Key Responsibilities

  • Maintain and enhance office systems, including data management and filing, to support business operations and requirements.
  • Coordinate and uphold administrative procedures, as well as filing and archiving systems.
  • Support the coordination of Board and AGM meetings, including arranging logistics such as room bookings and tele/video conference setup.
  • Assist in organizing and maintaining the Board calendar to ensure effective scheduling and planning.
  • Draft and prepare correspondence, memoranda, and reports as required.
  • Prepare resolutions, memoranda, and notices for review by senior management.
  • Respond to inquiries and requests promptly, handling matters independently where appropriate.
  • Submit files and prepare daily, weekly, and monthly reports as requested.
  • Liaise with vendors, suppliers, and internal stakeholders to ensure smooth operations.
  • Ensure all office supplies are available and sufficient, particularly for Board documentation and materials.
  • Receive and distribute mail and courier deliveries, ensuring proper documentation and timely handover.
  • Conduct research and compile relevant information to support issue analysis and problem-solving.
  • Maintain consistent professionalism in attendance, punctuality, personal presentation, and adherence to health and safety procedures.
  • Perform any other related duties as assigned.

Qualifications

  • Bachelor’s degree in commerce, Business Administration, Arts, or an equivalent discipline.
  • 2–4 years of experience in administrative roles, preferably within Board secretarial functions.
  • Excellent command of both English and Arabic, with strong bilingual writing and translation skills.
  • High level of accuracy with a sound understanding of general banking operations and practices.
  • Ability to adapt to new tools, systems, and techniques effectively.
  • Strong communication skills, with a proactive and self-motivated approach to work.
  • Demonstrates high levels of confidentiality, professionalism, self-confidence, and loyalty.
  • Eagerness to learn and continuously develop skills.
  • Maintains a proactive, responsible, and accountable attitude.
