About the Role

As part of our continuous growth, we are looking for a dynamic Administration Officer / Facility & Operations Support professional to join our team. In this role, you will be the face of our organization at the front desk, welcoming clients and visitors, while ensuring our workplace runs seamlessly within our multinational manufacturing environment. This position is ideal for a highly organized professional who thrives on coordination, enjoys supporting a global team, and takes pride in maintaining a well-oiled office, reception, and facility operation.

Responsibilities

  • Manage the reception area, greeting and welcoming clients, vendors, and visitors in a professional manner
  • Coordinate and schedule business meetings, manage conference room bookings, and handle front-desk inquiries
  • Seamlessly manage logistics, including booking flight tickets, travel arrangements, hotel accommodations, and company transportation
  • Oversee daily facility operations, including office setup, workplace maintenance, and general services
  • Act as the primary point of contact for external vendors and service providers, including security, cleaning, and maintenance teams
  • Lead, supervise, and mentor office support staff to maintain high service and operational standards
  • Collaborate closely with the HR department to support employee services and ensure local operations align with global corporate standards
  • Utilize company systems to track administrative expenses, facility requests, and vendor data

Qualifications

  • University degree in business administration, office management, or a related field
  • 1–4 years of relevant experience in reception, administration, or facility coordination (experience in a multinational manufacturing setup is highly preferred)

Required Skills

  • Strong knowledge of front-desk management, customer service, and corporate travel booking
  • Proficiency in MS Office tools (Word, Excel, PowerPoint)
  • Very good command of the English language (written and spoken)
  • Strong analytical thinking, multitasking, and problem-solving abilities
  • Excellent interpersonal and communication skills to manage both internal stakeholders and external visitors

Preferred Skills

  • Experience with SAP software (preferred)
  • Experience working within a global or multinational corporate structure
