Job Description
Job Purpose
The Lubricants Procurement Specialist is responsible for sourcing and purchasing lubricant oils from the local Egyptian market to support YourParts operational and customer needs. The role focuses on ensuring product availability, correct oil grades/specifications, competitive pricing, and reliable supplier performance—primarily through sourcing from reputable brands such as Mobil, Shell, Castrol, TotalEnergies, BP, Valvoline and other approved suppliers.
2) Key Responsibilities
A. Local Sourcing & Purchase Execution
- Source lubricant oils locally in line with demand plans and inventory requirements.
- Request quotations (RFQs), evaluate offers, compare pricing, lead times, MOQ, and payment terms.
- Place purchase orders, follow up on delivery schedules, and ensure timely receipt.
- Ensure purchase orders match required specs (brand, grade/viscosity, packaging size, and documentation needs).
B. Supplier/Distributor Management
- Identify and qualify local distributors and suppliers for lubricant oils.
- Maintain relationships to secure availability, pricing, and service level consistency.
- Monitor supplier performance (delivery reliability, fill rate, quality/claims responsiveness).
- Negotiate commercials with suppliers/distributors to optimize cost and terms.
C. Brand Sourcing (Egypt Market)
- Prioritize sourcing from reputable distributors for commonly used brands in Egypt, such as:
Mobil, Shell, Castrol, TotalEnergies, BP, Valvoline (and others as approved by management). - Ensure product authenticity and compliance with internal quality/documentation requirements.
- Support internal checks and coordinate resolution for any mismatch or quality-related issues.
D. Quality & Claims Support
- Coordinate with Warehouse/Operations to verify receiving against PO requirements.
- Support the claims/return process for damaged, incorrect, or non-conforming items in coordination with Finance/Operations.
- Maintain complete documentation for invoices, delivery notes, and any product documentation required.
E. Cost Control, Risk & Reporting
- Track lubricant market pricing trends and communicate risks (lead time delays, price increases, supply constraints).
- Report open POs, expected deliveries, and stock risk to Procurement leadership.
- Identify saving opportunities (bulk buying, alternative approved SKUs, improved lead times).
Requirements
Required Qualifications
- Bachelor’s degree in Supply Chain, Business, or a related field (or equivalent experience).
- 2+ years experience in procurement/purchasing (preferably industrial/automotive supplies or lubricants).
- Strong negotiation and supplier management skills.
- Strong Excel skills for quotation comparison and reporting.
- High attention to detail and ability to maintain accurate procurement records.
Preferred Qualifications
- Experience sourcing engine oils/industrial oils locally in Egypt.
- Knowledge of common lubricant grades/specifications used in B2B environments.
- Familiarity with supplier qualification, claims/returns, and documentation controls.
- Experience using ERP/procurement systems (SAP/Oracle/Dynamics or similar).
